The Black Car NYC Corporate Trial

1 to 2 free rides for your executive. No card. No commitment.

The fastest way to know whether Black Car NYC is the right corporate vendor is to put your principal in one of our cars. So we make that easy: apply for an account, your EA picks the trip, your principal rides, your team decides. No paperwork in advance, no card on file, no pressure after.

What the trial includes

  • Up to 2 complimentary rides for your principal
  • Choice of vehicle: Mercedes E-Class, S-Class, or Cadillac Escalade
  • Any standard NYC use case — airport transfer, late-night office run, executive multi-stop day
  • Tolls and gratuity included on every trial ride
  • Real-time text confirmation from the chauffeur
  • Same fleet, same chauffeurs, same standard as our paid corporate accounts
  • Live phone support from the corporate desk before, during, and after

How the trial works

  1. 1
Apply. Submit the form on this page or call (347) 321-9929 and ask for the corporate desk.
  2. 2
Confirmation. We confirm within one business day with the corporate desk lead handling your account.
  3. 3
EA picks the trip. Date, time, vehicle, pickup, drop-off, principal name. Same workflow as any other ride.
  4. 4
Principal rides. Live confirmations, real chauffeur, real fleet — exactly the experience every paid ride will be.
  5. 5
You decide. Move forward to EA portal setup or part as friends. No follow-up sequence, no contract trap.

Common questions about the trial

Is a credit card required at any point?

No. The trial is fully complimentary. A card is only added later if you choose card-on-file billing during portal setup — and even then, the EA picks at onboarding.

Will you contact us repeatedly if we don't move forward?

No. One follow-up email after the trial to confirm your decision. If the answer is no, that is the last contact from us.

Is the trial vehicle different from your regular fleet?

No. Same vehicles, same chauffeurs, same operational standard as our paid corporate accounts. The whole point is to give you a real read.

Can the trial include a Sprinter group ride?

Sprinter trials are scoped case-by-case. Call the corporate desk and we will figure out what makes sense for your group.

Three reasons NYC executive assistants stop calling rideshare

Built for the people who actually book the ride — not the principal who reads the receipt.

24/7 live phone dispatch

A real person answers the corporate desk every hour of every day. No app to download. No IVR to navigate. No chat queue. The dispatcher knows your account before they say hello.

A self-service EA portal

Most car services give the EA a phone number and a hope. We give them a portal — book, change, cancel, manage rider profiles, pull invoices, set recurring rides. The 80% of work that does not need a phone call gets done in two clicks.

On-demand or scheduled — both work

Schedule the JFK run two weeks out. Or call us at 9:42 PM and be in the car by 10:00. Same flat rate. Same chauffeurs. Same fleet. No surge pricing, ever.

The EA Portal

An EA portal that actually saves time

Self-service tools for the work that does not need a phone call. The phone is still there for the work that does.

Book new rides

Scheduled or on-demand. Sedan, SUV, or Sprinter. Confirmed in seconds.

Change or cancel

Update pickup time, swap vehicles, change drop-off, or cancel without picking up the phone.

Full ride history

Filter by rider, date, or trip purpose. Pull a full quarter in seconds for board reporting.

Invoices and receipts

View and download every invoice and per-trip receipt. Hand it to AP in one click.

Manage rider profiles

Add and remove principals. Set per-principal preferences: vehicle, chauffeur, FBO of choice, child seat configuration.

Billing methods

Add and rotate credit cards. Switch to monthly invoicing once volume justifies it.

Cost center / GL coding

Tag each ride to a department, project, or general ledger code. AP-ready exports.

Export to CSV

Pull ride data for your expense system, TMC, or internal reporting. No data lock-in.

Recurring rides

Pre-set daily school pickup, weekly office run, or standing late-night dispatch. Auto-fires without a daily call.

Live trip share

Share a one-time link with your principal so they can see the chauffeur en route — without giving them an account.

EA portal access is set up during onboarding, included with every corporate account. No per-seat fees.

Bonus feature for principals

The Principal Direct Line

Every principal under your account can be issued a separate booking number that auto-logs to the corporate account. Your principal calls dispatch directly from the back of an Uber, from baggage claim, or from a client dinner running long — no need to text the EA at midnight or call from an airport tarmac. The ride lands on the same monthly invoice with the same reporting.

Works for visiting board members and key clients too. The EA stays in the loop with automatic notifications without being the bottleneck.

How it works

  1. 1. Issued during onboarding
  2. 2. Principal calls anytime, 24/7
  3. 3. Dispatcher loads the corporate profile
  4. 4. EA gets a notification, ride is logged

Two ways to book. Both work.

Plan ahead when you can. Pick up the phone when you can't. Same fleet. Same flat rate. No surge.

Scheduled

Book it now, ride it later.

Schedule rides days, weeks, or months in advance through the EA portal or the corporate desk. Recurring rides (daily school pickup, weekly office run, standing late-night dispatch) can be set once and run automatically.

  • ·Best for airport runs and known meetings
  • ·Recurring rides supported through the portal
  • ·Same chauffeur preference honored when scheduled in advance
On-demand

Call now. Ride in 20 minutes.

Plans change. Meetings run long. Your principal walks out earlier than expected. Call the corporate desk or open the EA portal and we typically arrive in 20 to 40 minutes anywhere in Manhattan, depending on traffic and fleet position.

  • ·24/7 — including weekends and overnight
  • ·Same flat-rate pricing — no surge, ever
  • ·Late-night office runs are a frequent on-demand use case

How much your firm saves moving off rideshare

Most savings come from the AP team and the EA — not from the rides themselves. Plug in your numbers.

Total rides booked through any vendor — rideshare, taxis, current car service. Across all principals.

Booking, changes, expense reports, chasing receipts, troubleshooting late pickups, etc.

AP processing cost saved

$5,700/yr

~$475/month · $25 avoided per rideshare receipt your AP team would have reconciled (industry mid-range)

EA time recovered

78 hours/yr

~1.9 workweeks · 50% admin reduction estimate based on portal-driven booking and monthly invoicing

Estimates only. AP processing cost based on widely-cited industry research ($20–$50 per expense report). EA time reduction based on typical workflow shift from per-ride reconciliation to monthly review. Direct ride cost is route-dependent — flat-rate per-trip pricing eliminates surge but does not change the underlying mileage.

The EAs we talk to are surprised by this. Direct ride cost is roughly comparable to rideshare on flat-rate routes — the real money is the operational drag of receipt reconciliation and per-ride logistics. A corporate account makes both line items disappear.

For the second buyer

Why your CFO signs off

The EA loves the portal. The CFO and AP team love the financial discipline. Different audience, same Black Car NYC corporate account.

Predictable monthly cost

Flat-rate per-trip pricing eliminates surge variability. Your monthly ground-transportation line item lands within a tight, forecastable band — no end-of-quarter surprises from holiday surges or weather events.

Single auditable trail

Every ride captured to one statement. Every statement reconcilable to riders, departments, and GL codes. Audit trail for every line item, every month, for every principal.

Vendor consolidation

Replace 5–15 ground-transportation receipts per month per principal with one corporate vendor invoice. Reduces vendor master file complexity and AP workload.

Lower AP processing cost

Industry research pegs expense report processing at $20–$50 per receipt. A corporate account replaces dozens of monthly receipts with one invoice — net AP cost reduction is real, immediate, and recurring.

Clean cost-center attribution

Every ride tagged to department, project, cost center, or GL code at booking time through the EA portal. No post-hoc allocation, no AP guesswork, no department disputes.

NET 30 discipline

Predictable invoice cadence, predictable payment terms, predictable cash-flow impact. Optional NET 15 or NET 60 negotiated for enterprise accounts.

Procurement-ready

Built for procurement teams at law firms, hedge funds & family offices

Most car services lose corporate deals not because the service is wrong — because they cannot deliver the paperwork procurement needs. We can.

📄

Certificate of Insurance (COI)

Standard COI delivered within 24 business hours. Custom-named insureds, additional-insured riders, and waiver-of-subrogation language available for accounts that require it.

📄

W-9 on request

IRS Form W-9 available for AP onboarding. One-email request, same-day turnaround during business hours.

📄

Standard NDA

Standard mutual NDA available for review within 24 business hours. We also accept and review your firm's standard NDA without unreasonable redlines.

📄

Vendor questionnaires

We complete standard vendor questionnaires within 48 business hours. Procurement and risk-assessment forms returned with documentation, not boilerplate.

📄

W-2 chauffeurs

Our chauffeurs are W-2 employees, not independent contractors. This matters for liability allocation, insurance coverage, and risk-management profile — and it shows up in every procurement questionnaire.

📄

Background check disclosure

All chauffeurs undergo background checks at hiring and periodically thereafter. Documentation of process available for procurement review.

📄

Privacy & data handling

Plain-English data handling statement available. We don't sell account data, we don't share rider information outside the operations team, and we delete inactive accounts within standard retention windows.

📄

TLC licensing

Operating under New York City Taxi & Limousine Commission base license. License documentation available. All vehicles TLC-plated and inspected.

Need any of the above for an active procurement review? Email bookings@blackcarnyc.com with your firm name and what you need, or call (347) 321-9929 and ask for the corporate desk.

We respond to procurement requests during business hours and route urgent requests to the founder when needed.

Operational accountability

Service guarantees

When something goes wrong, the EA does not want a refund process — they want it fixed. Here is what corporate accounts can count on.

We own service failures

If a chauffeur is late, a vehicle is wrong, or a pickup is missed — we own it. We don't blame the chauffeur, the traffic, or the weather. We make it right with a credit, a comp ride, or whatever the situation calls for.

No surge during emergencies

Blizzards, holidays, the day after a market crash, the day before a holiday weekend — we don't price-gouge. The flat rate you see is the flat rate you pay, regardless of conditions outside.

Direct line to ownership for escalations

If the corporate desk doesn't resolve an issue to your satisfaction, the founder takes the call. No call-center routing. No "I'll have to ask my supervisor." Direct accountability.

Same-day resolution for active rides

If something goes sideways during a live ride, we don't wait for the next business day. Dispatch handles it on the spot — replacement vehicle, route correction, on-site coordination. Whatever closes the loop fastest.

These are operational principles, not legal contract terms — but every corporate account knows the same direct number to call if any of them is ever in question.

Our refusal policy

Things we won't do — even when we could

Every corporate buyer has been burned by a vendor who became a problem after they said no. We are not that vendor.

We don't drip-campaign you after the trial

If you decline after the free trial, you get one follow-up email confirming your decision. No re-engagement sequences. No "checking in just in case" cadences. No calls in 90 days from a different rep pretending it's a fresh introduction.

We don't sell or share your account data

Your rider profiles, ride history, and billing data are operational records, not marketing assets. They never leave our system, never get sold to data brokers, never get shared with third-party marketers.

We don't surge — ever

Holidays, blizzards, market crashes, the night before Thanksgiving — the flat rate doesn't move. If we can't cover a route at our published rate, we tell you and help you find an alternative. We don't use bad weather as a pricing strategy.

We don't subcontract corporate accounts

Your principals don't end up in a marketplace driver's personal car because we ran out of vehicles. We dispatch from our own fleet, with our own chauffeurs. If we can't cover, we are honest with the EA in advance.

We don't auto-renew or hide cancellation

No multi-year contracts that auto-extend. No cancellation buried behind a phone tree. If your firm wants to leave, the EA emails the corporate desk and we close out cleanly — final invoice, no exit fee, no friction.

We don't take rides we cannot run well

If your principal needs something we can't do at our standard — a route outside our service area, a vehicle type we don't carry, a pickup window we can't hit safely — we tell you and refer to a peer operator. We'd rather lose the ride than lose the relationship.

Corporate car service in NYC, designed for the people who book the ride

Most corporate car services are sold to the principal. Black Car NYC is built for the executive assistant — because the EA is the one deciding whether your firm books with us tomorrow. That single insight shapes every part of the service. The dispatch desk picks up live, not after a queue. The portal handles the routine work without a phone call. The free trial puts the principal in the car before any commitment. The fleet is the same five vehicles you see on every booking, not a marketplace of strangers.

On-demand and scheduled — both work, same flat rate

A corporate account at Black Car NYC supports both scheduled rides (planned days or weeks in advance, recurring weekly schedules, standing late-night dispatch) and on-demand rides (call the desk or open the EA portal and we typically arrive in 20 to 40 minutes anywhere in Manhattan). Same fleet, same flat-rate pricing, no surge — whether you book the JFK run two weeks out or call us at 9:42 PM.

The EA portal — self-service for the work that does not need a phone call

The Black Car NYC EA portal lets executive assistants book new rides, change or cancel existing rides, manage rider profiles for multiple principals, view full ride history, download invoices and receipts, add billing methods, tag rides to GL codes, export to CSV, and pre-set recurring rides. The phone is still there for everything that genuinely needs a human — the portal handles the rest.

Flat-rate, no-surge pricing across NYC's major airports

Corporate airport transfers run to and from JFK ($170 sedan / $200 SUV), LaGuardia ($150 / $175), Newark ($170 / $200), and Teterboro and HPN on quote. Real-time flight tracking. Meet-and-greet at the terminal. 60 minutes of free wait time on international arrivals. Same flat rate every booking — no surge, no peak pricing, no surprises on the monthly invoice.

Built for NYC's busiest companies

Black Car NYC corporate accounts are designed for the firms that have decided rideshare receipts are not an acceptable answer for their principals or their AP team — hedge funds, family offices, AmLaw 100 firms, investment banks, consulting firms, tech executives, and media and entertainment companies across Manhattan, Brooklyn, Greenwich, Stamford, Hudson Yards, and the wider tri-state.

What to look for in the best corporate car service in NYC

Seven criteria EAs and travel managers use to separate a real corporate car service from a phone number with a website.

1

Live phone dispatch, 24/7

A corporate car service that routes you to a chat bot or app queue after 11 PM is a corporate car service that will fail your principal at the worst moment. The best corporate car services in NYC pick up the phone live, every hour of every day.

2

A self-service EA portal

Most car services give your EA a phone number and a hope. The best ones give the EA tools — book, change, see history, pull invoices, manage rider profiles, set recurring rides — without making them call for routine work.

3

On-demand AND scheduled rides

Some services only do scheduled. Others only do on-demand. The best corporate car service does both at the same flat rate, so plans changing at 9:42 PM does not mean a price spike or a missed pickup.

4

Flat-rate pricing with no surge

Surge pricing inside a corporate account is a budget disaster. Look for published flat rates on every airport and a no-surge guarantee. If pricing is "request a quote" for routine routes, the answer is going to vary by phase of the moon.

5

A free trial ride for your executive

The fastest way to know whether a car service is right for your firm is to put your principal in their car. The best corporate car services in NYC let you try one or two rides before you sign anything — no card, no commitment.

6

Same-chauffeur preference

A driver who knows your principal — the doormen, the FBO of choice, the radio preference — saves friction every single ride. Look for a service that supports same-chauffeur preference, with named backups for conflicts.

7

Flexible billing — card on file or monthly invoice

Some firms want a corporate card automatically charged. Others need monthly invoicing for AP. The best corporate car services let your EA pick at onboarding and switch later as volume changes.

Black Car NYC checks every box on the list above. If it fits how your firm books transportation, the fastest way to confirm is the free trial ride — apply on this page or call (347) 321-9929.

Frequently Asked Questions

Everything CFOs, EAs, and travel managers ask before applying.

About the trial & onboarding

What is corporate car service in NYC?

Corporate car service in NYC is account-based ground transportation for companies, executives, and the people who book on their behalf. Black Car NYC corporate accounts include a self-service EA portal, on-demand and scheduled rides, monthly invoicing or card on file, and 24/7 live phone dispatch. The service runs to JFK, LaGuardia, Newark, Teterboro, and HPN, plus daily transportation across Manhattan, Brooklyn, Queens, the Bronx, Westchester, Long Island, Connecticut, and New Jersey.

What is included in the free trial?

Every new corporate account gets one or two complimentary rides for the principal. No credit card required. No commitment. We use the trial to confirm fit — your executive experiences the chauffeur, the vehicle, and the on-time discipline before you sign anything. If your team likes the service, we set up the EA portal and start regular bookings. If not, we shake hands and part as friends.

How fast can a corporate account be onboarded?

Same-day for urgent travel — call the corporate desk and we can have your trial ride scheduled within hours. Standard onboarding is 3 to 5 business days, which gives time to set up rider profiles, billing, EA portal access, and any internal procurement paperwork your firm requires.

How do I get started?

Submit the application form on this page or call (347) 321-9929 and ask for the corporate desk. We confirm within one business day, schedule your free trial ride at your principal's convenience, and set up the EA portal once your team is ready to move forward. The whole process can be done same-day for urgent travel.

The EA portal & booking

How does the EA portal work?

The EA portal is a self-service tool that handles the 80% of corporate travel work that does not need a phone call. EAs can book new rides (scheduled or on-demand), change or cancel existing rides, see full ride history filtered by rider, view and download invoices and receipts, manage rider profiles for multiple principals, set per-principal preferences, add and update billing methods, assign rides to a cost center or GL code, export ride data to CSV for expense reports, pre-set recurring rides, and share a live trip link with the principal so they can track the chauffeur. The phone line is always there for the 20% that needs a human.

Can I book on-demand or only scheduled?

Both. Scheduled bookings are the most efficient way to plan principal travel and we recommend them for airport runs and known meetings. On-demand bookings are available 24/7 — call the corporate desk or use the EA portal and we typically arrive in 20 to 40 minutes anywhere in Manhattan, depending on traffic and fleet position. Same flat-rate pricing either way. No surge.

Can a principal request the same chauffeur every time?

When availability allows, yes. The principal's rider profile records the preferred chauffeur and we assign that person whenever the schedule permits. For conflicts, a familiar backup chauffeur is briefed on the rider's preferences in advance.

Service & operations

Do you handle JFK, LaGuardia, Newark, and Teterboro for corporate accounts?

Yes. Corporate airport transfers run to and from JFK, LaGuardia, Newark, Teterboro, and HPN. Flight tracking is built into every airport booking, so the chauffeur adjusts pickup time automatically when your principal's flight slips. Meet-and-greet at the terminal is a $25 add-on. International arrivals get 60 minutes of free wait time. Teterboro and HPN pickups can be coordinated to specific FBOs (Signature, Jet Aviation, Atlantic, Meridian, Million Air) when you tell us which one.

Do you handle late-night office pickups?

Yes. Late-night office runs from Midtown, FiDi, Hudson Yards, or anywhere in Manhattan to JFK, EWR, or a principal's residence are one of the most common corporate use cases. Recurring late-night bookings can be standing through the EA portal so the EA does not have to call every night.

Do you handle multi-stop principal days?

Yes. Hourly chauffeur is the format for principal day-of transportation: office to client lunch to board meeting to airport. The chauffeur waits at every stop. Hourly rates start at $95 for a sedan and $130 for an SUV with a 3-hour minimum.

Do you handle M&A and IPO roadshows?

Yes. Roadshow weeks are a dedicated workflow. We pre-stage SUVs and Sprinters for the full week, brief the chauffeurs on the daily itinerary, and consolidate billing into a single post-event invoice with rider-level detail.

Do you provide Sprinter vans for offsites and group travel?

Yes. Executive Sprinter vans (14 passengers) and Jet Sprinter configurations are available for board offsites, leadership meetings out of town, summer interns transportation, post-IPO celebrations, and any group corporate trip. Multi-day Sprinter retainers are common during week-long executive events.

What vehicles are available under a corporate account?

Mercedes E-Class business sedans, Mercedes S-Class luxury sedans, Cadillac Escalade luxury SUVs, Executive Sprinter vans (14 passengers), and Jet Sprinter configurations. All vehicles are late-model, professionally maintained, and TLC-licensed with full commercial insurance.

Is the service available 24/7?

Yes. The corporate desk is staffed 24 hours a day, 7 days a week, 365 days a year, including all major holidays. Late-night returns, early-morning departures, weekend principal travel, and holiday family pickups are standard.

Billing & invoicing

How do we pay — credit card or monthly invoice?

Either. Your EA picks at onboarding. Most accounts start with a corporate card on file (every ride charges automatically and the monthly statement is the receipt) and switch to monthly invoicing once volume justifies it. Monthly invoices are itemized by rider, date, trip, vehicle, and total — clean enough to drop directly into your AP system or expense workflow.

Are tolls and gratuity included in the price?

Your EA chooses at onboarding. Most corporate accounts choose bundled pricing — tolls and gratuity built into the flat rate so the EA forecasts against one number and the AP team gets clean line items. Itemized billing is also available if your expense system requires it.

Try it with your principal first.

One or two free rides. No card on file. No commitment. We confirm within one business day and schedule the trial at your principal's convenience.
